TCEA 2026 Volunteer Application

Thank you for your interest in volunteering at the 2026 TCEA Convention & Exposition.

This opportunity closes January 12, 2026, at 11:59 p.m.

Volunteer Requirements

  • You must be registered attendees of the 2026 TCEA Convention & Exposition.
  • Volunteers who sign up for two 4.5-hour shifts will be eligible for a complimentary Full Convention Registration, while opportunities last. (Note: Saturday 4-hour shifts also count toward this requirement.)
  • Volunteers serve as session facilitators, assisting presenters and helping sessions run smoothly.
  • Positions are first-come, first-served and must be approved before confirmation.


Shift Selection and Assignment

  • Choose shifts that match your availability.
  • We will assign your room based on your selected shifts and the needs of the event.


Volunteer Responsibilities

  • Scan attendees into sessions in your assigned room.
  • Monitor room capacity and close the doors if it reaches capacity.
  • Call for AV/IT support if needed.
  • Clear the presentation rooms between sessions
  • Sit in a reserved seat at the back of the room (Learn and earn CPE credits for your assigned sessions)


Expectations

As an extension of the TCEA team, your commitment is essential for the success of this program. Volunteers must:

  • Check into the Volunteer Booth at least 2 hours before your scheduled shift. (Early morning shifts? Check-in the day before.)
  • Attend a 15-minute training on equipment use.
  • Complete your full shift. (each 4.5-hour shift includes two 10-minute breaks.)
  • Remain in your assigned room, ensuring a smooth session in case of AV/IT needs.
  • Help provide a positive and professional experience for all presenters and attendees.


Complimentary Registration Cancellation Policy

For volunteers Receiving Complimentary Registration:

  • Cancel before January 16, 2026 – No penalty
  • Cancel on or after January 16, 2026 – a $60 cancellation fee applies.
  • Failure to complete your shifts will result in your badge being deactivated on-site until payment is made. You will not have access to sessions or CPE credit documentation until the fee is settled.
